How to Close and Delete Your QuickBooks Accounting Profile

QuickBooks is one of the most popular accounting software used by small businesses and accountants. However, there may come a time when you need to close or delete your QuickBooks profile. Here is a step-by-step guide on how to do it.

Cancelling Your QuickBooks Subscription

The first step is cancelling your QuickBooks subscription if you have one. Here are the steps:

If You Signed Up Directly with Intuit

  1. Sign in to your QuickBooks Online account
  2. Go to Settings (gear icon) and select Subscriptions
  3. Find QuickBooks and select Cancel Subscription
  4. Select a reason for cancelling and confirm

You will have read-only access to your data for one year before it is deleted.

If You Signed Up via App Store

  1. Open the app store on your device
  2. Go to your account settings
  3. Find the QuickBooks subscription and select Cancel Subscription
  4. Confirm the cancellation

Deleting Your QuickBooks Online Data

If you want to permanently delete your QuickBooks Online data, follow these steps:

  1. Sign in to QuickBooks Online as the Admin
  2. Go to Settings (gear icon) > Account and Settings
  3. Select Delete Company and All Associated Data
  4. Enter your company name to confirm
  5. Select I Understand, Delete My Company File

Warning: This will permanently delete all of your QuickBooks data with no option to recover it.

Closing Your QuickBooks Payments Account

If you use QuickBooks Payments, you will need to close that account separately:

  1. Sign in to the QuickBooks Merchant Services Center
  2. Go to Account > Account Profile
  3. Select Close Account
  4. Select a reason and submit

You will have access to your Payment reports for one year after closing the account.

Deleting Your Intuit Account

The final step is deleting your Intuit account which manages all QuickBooks products:

  1. Go to accounts.intuit.com
  2. Select Delete under Data Privacy
  3. Confirm your password and select Continue

This will permanently delete all personal data associated with your Intuit account.

What Happens When You Cancel/Delete QuickBooks

  • Cancelling only ends your subscription. Your data will be available read-only for 1 year.
  • Deleting QuickBooks Online or your Intuit account permanently deletes all data with no recovery option.
  • You can still access QuickBooks Payment reports for 1 year after closing that account.
  • Always download any data you may need before deleting accounts or data.
